Development and Volunteer Coordinator (Administrative)

GENERAL FUNCTION: Performs a variety of skilled administrative and clerical duties directly related to fundraising activities. These include tracking donations, gift acknowledgement, maintaining donor databases, overseeing in-kind donations, preparing and distributing mailings, and supporting special events. Develops effective working relationships with donors, volunteers, and Program Managers. Solicits in-kind donations to support the program needs and auctions. Provides administrative support to the various positions in the department. Recruits, orients, trains, and manages all special event and administrative volunteers.

Development Tasks

  1. Record all donations in Donor Perfect; generate journal entries for Accounting.
  2. Prepare timely donor acknowledgments (thank you and tax letters).
  3. Serve as first point of contact for donor and in-kind donation inquiries.
  4. Coordinate in-kind donation logistics, including timely storage.
  5. Maintain donor database and update program wish lists.
  6. Reconcile donor reports with accounting monthly.
  7. Provide admin support to Development team.
  8. Coordinate Cakes for Kids and Feeding San Diego donations.
  9. Research and solicit in-kind/event donations from individuals and businesses.
  10. Generate donor and mailing lists; assist with newsletter content.
  11. Support department meetings; maintain Development Calendar.
  12. Co-lead Holiday Donation Drive; solicit seasonal program needs.
  13. Manage ongoing donation drives and storage inventory.
  14. Coordinate donor recognition items (e.g., bricks).
  15. Support special event logistics and administrative needs.
  16. Provide reception backup for CKC Administration.

    Volunteer Tasks

  17. Recruit, train, and manage admin, development, and event volunteers/interns.
  18. Liaise with universities and community groups for volunteer outreach.
  19. Oversee volunteer screening, documentation, scheduling, and compliance.
  20. Collaborate with Program Managers to assess and meet evolving volunteer needs.
  21. Maintain volunteer database and track hours                                                                                                                                                            Special Events:
  22. Lead event registration, volunteer supervision, and check-out using Greater Giving
  23. Collaborate with Special Events Coordinator on volunteer management and in-kind solicitations.
  24. Manage event RSVPs, donor communications, and thank-you letters.
  25. Assist with setup, cleanup, and preparation of materials for all events.
  26. Input event data (auction items, guests, sales) into Greater Giving

QUALIFICATIONS:

  • Must be able to be associated with Casa de Amparo through Community Care Licensing (CCL), which typically includes clearance by FBI, DOJ and CACI. (California Child Abuse Index)

Minimum of two years in a development setting with varied responsibilities. Advanced computer skills including experience with MS Office Suite. Experience with Donor Perfect (online) and Greater Giving event software a plus. Experience recruiting, interviewing, and hiring. Well-organized, strong telephone and interpersonal communication skills, detail and big picture oriented. Proactive with problem solving abilities. Strong writing, grammar, and editing ability. Flexible and able to respond to multiple demands. Fundraising experience or education preferred. Must have auditory, visual, and physical skills to be able to perform tasks as outlined in this job description. Must be able to lift 50 pounds. Must possess reliable personal transportation and be approved by agency insurance carrier. Must be flexible regarding work schedule.
