Business Office Manager (Administrative)



Key Responsibilities:

Accounting & Financial Management:

  • Manage and process Accounts Receivable and Accounts Payable in a timely and accurate manner.
  • Ensure resident billing is accurate and complete; follow up on collections as needed.
  • Prepare and review monthly financial reports and reconcile accounts as necessary.
  • Assist with budget tracking and variance reporting.

Payroll & HR Administration:
  • Process bi-weekly payroll for all staff using Workday or designated payroll systems.
  • Maintain accurate employee records, including onboarding, benefits administration, and compliance documentation.
  • Support performance reviews, terminations, and HR investigations in coordination with corporate HR.
  • Ensure compliance with local, state, and federal labor laws.

Office & Administrative Management:
  • Serve as a key liaison between staff, residents, families, and corporate office.
  • Maintain confidentiality of sensitive financial and employee data.
  • Coordinate administrative processes and ensure a smoothly functioning front office.
  • Provide support during audits and ensure proper documentation is in place.
Required Skills & Qualifications:
  • 3-5 years of experience in business office management, preferably in senior living, healthcare, or related industry.
  • Proficiency in Accounts Receivable (AR), Accounts Payable (AP), Payroll, and HR functions.
  • Experience with Workday HRIS and payroll systems required.
  • Strong command of Microsoft Outlook and general Microsoft Office applications.
  • Excellent organizational, communication, and customer service skills.
  • Ability to handle multiple priorities with a high level of accuracy and confidentiality.
  • Familiarity with regulatory requirements in senior living/healthcare is a plus.
Preferred Qualifications:
  • Associate or Bachelor's degree in Business Administration, Accounting, or related field.
  • Prior experience in a leadership role within a senior living or long-term care environment.
