Talent Assistant (Finance)

Who we're looking for:
We're searching for a Talent Assistant to join the Western Region team, with offices in Seattle, Portland, Sacramento, San Francisco and Los Angeles. This role will start remotely, but will ultimately be based in an office with a preference for Los Angeles. We are looking for an individual who is action-oriented, loves helping people and is ready to play a vital role within the Talent Team. The person in this role will be responsible for the administrative operations of the contingent workforce across our Western Region, supporting various teams through the employee lifecycle. The Talent Assistant will serve as the primary point of contact on the Talent Team for inquiries and partner closely with our Resource Management team.
The Talent Assistant should possess excellent verbal and written communication skills and the ability to manage multiple tasks/projects and prioritize appropriately. They should be able to work well in a fast environment under pressure and possess strong follow-up and creative problem-solving skills, with the ability to quickly respond to inquiries. This role requires process-driven procedures with the ability to apply Federal and State level compliance for our contingent workforce across our Western Region office locations.
Proficiency in Microsoft Word, Excel and PowerPoint, keen attention to detail, ability to handle confidential information, and ability to interact with all levels of staff is critical. Interest and familiarity with the field of human resources through past coursework and/or other internships or employment is desirable.
Responsibilities:
The Talent Assistant will have the opportunity to work across the field of human resources by performing a variety of highly responsible duties with a dynamic team. Responsibilities include, but are not limited to:
Contingent Workforce Management:
• Work closely with our Finance, Resource Management and IT teams to review, process and onboard temporary, hourly employees; this includes, but is not limited to, requisition creation in our Applicant Tracking System, sending offers, requesting all hiring documentation, finalizing hires in our HRIS, and requesting equipment as necessary
• Update process documentation and ensure clear communication with regards to all stakeholders on an on-going basis
• Partner with managers to off-board temporary, hourly employees as their project assignment ends; this includes, but is not limited to, processing requests for final checks, data entry of terminations, and ensuring completion of all tasks
• Ensure compliance with regard to the contingent workforce, including any requirements for local, State and Federal pay guidelines, working with centralized payroll department
New Hire Onboarding:
• Assist with new hire first day set-up, working closely with managers and the operations team
• Prepare new hire orientation packets and paperwork for permanent and temporary employees
• Review new employee documents for accuracy
• Answer questions, anticipate needs and ensure new hires have a comprehensive onboarding experience
• Conduct day one orientation sessions
HRIS/Data Management:
• Ensure confidentiality of all information
• Organize confidential active and inactive employee personnel files
• Assist in the accurate entry of data into HR systems for new hires, terminations, employee status changes, supervisor changes, address changes, and other personnel information
• Assist with employee information tracking and report creation (specifically Monthly and Quarterly recurring individual and group reporting)
• Support Talent team with employee survey (Peakon) result distribution and trend reporting
• Perform employment verifications of current and inactive staff
Ongoing employee support:
• Serve as a contact for employees to inquire about HR policies, programs or decisions
• Help answer employee questions regarding employee benefits plans
• Process employee payroll related documentations and communications; perform audits semi-monthly
• Interact and communicate positively and productively across teams within the organization and the Talent Team
Additional Responsibilities and Expectations:

• Communicate with employees effectively, serving as an ambassador of the Edelman brand, while living the firm's core values
• Take ownership of the work and see projects through within designated deadlines
• Support internship program activities, such as intern program administration, college career fairs, etc.
• Perform miscellaneous duties for projects as assigned by the Talent Team
