Unit Research Admin (Finance)



The Unit Research Administrator provides comprehensive support for the Department of Molecular Pharmacology & Physiology business operations by preparing budget projections, analyzing compliance requirements, and advising faculty on the submission and review of proposals. Once awards are granted, the administrator guides researchers through post-award processes including effort reporting, pay distributions, account setup, project reconciliation, and financial oversight. Responsibilities also include reviewing and approving invoices and financial reports, preparing expenditure transfers and override requests with appropriate documentation, and overseeing the final reconciliation of sponsored projects. This role spans multiple research initiatives and includes key personnel management duties such as staff hiring, appointment, and visa application. This role blends analytical, financial, operational, and personnel-focused responsibilities to ensure smooth execution of research initiatives across the department.Minimum Qualifications:

1. This position requires a bachelor's degree and 1 year of professional administrative experience. Progressively responsible related experience may substitute for the required education on year-to-year basis

Preferred Qualifications:

  • A bachelor's degree with 2-4 years of experience
  • FLSB1310 Equivalency:
    4 years of directly relevant experience may be substituted for bachelor's degree.

  • Identifies and promotes grant opportunities. Identifies sources of funding for the conduct of research within the department. Informs researchers regarding new process and procedures implemented that could affect their research.
  • Reviews award budget and expenditures (expenses, equipment, and salaries) for compliance with grant terms and guidelines.
  • Coordinates the recruitment process, including preparing job description, funding plan, and selection requests.
  • Update the department HR employee sheet.
  • Work with the Office Manager to submit requested visas for scholar, staff, and students.
  • Monitors Institutional Review Board/ Institutional Animal Care and Use Committee closure dates; helps researchers with necessary resources.
  • Keeps statistics on unit research activities.
