R&D OPERATIONS SPECIALIST (Transportation)

A Brief Overview

The R&D Business Operations Specialist plays a critical role in supporting the operational efficiency of the R&D organization. This position is responsible for coordinating and facilitating contracts, purchase orders, and external vendor relationships, ensuring compliance and alignment with internal processes and strategic goals. The role will collaborate closely with cross-functional teams and the Vendor Management team to ensure timely and effective engagement with third-party partners. This will include identifying opportunities for process improvement in vendor engagement and procurement workflows. This role will also work closely with R&D leadership to understand the needs of each department.

What you will do

  • Vendor Management:
    • Support the vendor management process to ensure efficient processing for new vendor requests
    • Serve as a liaison between R&D project teams, sourcing, finance, legal, and vendors to streamline external collaborations.
    • Collaborate with the Vendor Management team to support strategic sourcing decisions and performance reviews
    • Support the onboarding and monitoring of external vendors in alignment with vendor management processes and compliance requirements
    • Maintain accurate documentation of all external engagements and ensure contract terms are adhered to
    • Identify opportunities for process improvement in vendor engagement and procurement workflows
  • Contract and Purchasing Management:
    • Manage the end-to-end process for initiating, tracking, and maintaining contracts and purchase orders for R&D initiatives
    • Organize and maintain tracking of all active contracts, expiry dates, and work with functional teams when updates or changes are required
    • Assist with capital expenditure forms and internal consumption orders
  • Reporting:
    • Provide timely updates and reporting on contract and vendor status to key stakeholders within R&D
    • Work with R&D leadership to understand department needs
  • Document Management:
    • Maintain access to historic documents/systems as needed
    • Provide support to Legal team with historic documentation as needed
  • Other R&D operations as needed:
    • Support Corporate Month End Closing as needed
    • Support finance and accounting team with applicable data needed for tax purposes. Provide all Medical Device Suppliers with Tax Exempt Certificates for NC & WI
    • Support other R&D operation needs as assigned.

Minimum Requirements:

  • Bachelor of Science (B.S.) in business administration or related field
  • 3+ years industry experience working cross functionally in an office or manufacturing environment

 Preferred Qualifications:

  • Accounting and administrative assistant experience.
  • Strong understanding of contract management and vendor lifecycle management.
  • Experience in medical device industry or similar

  • Strong interpersonal skills
  • Strong organizational skills
  • Proactive approach to work; demonstrates initiative and reliability
  • Experience with Ariba and workflow management operations.
  • Experience with contracting and new vendor creation process
  • Strong MS Office skills
  • Strong technical skills, ability to work across various platforms
