Learning Develop Asst. (Finance)
Essential Position Responsibilities - This is a salary Exempt position
Internal Communications & SharePoint Management: Maintain and update SharePoint sites and internal communication channels related to Learning & Development (L&D). Ensure timely and accurate dissemination of L&D information across the organization.
Learning Management System (LMS) Administration: Manage LMS logistics including roster updates, calendaring, and training audits. Train LMS super-users and maintain data integrity through regular quality checks. Generate reports, track attendance, and manage training documentation as needed.
Administrative Support for L&D Team: Manage active, complex calendars on multiple platforms for internal and external stakeholders, scheduling meetings, trainings, and events. Monitor and prioritize incoming communications, flag urgent matters, and follow up to ensure timely responses. Monitor and respond to emails on multiple accounts, frequently communicating on behalf of team leaders. Demonstrates leadership to maintain credibility, trust, and support within the organization. May communicate with executive leaders and other community leaders on behalf of the team where appropriate. Frequently edits, updates, and appropriately shares confidential personnel information with regard to 360 reviews, talent reviews, and the pay for performance cycle.
Proactive Problem Solving & Initiative: Take ownership of responsibilities and seek opportunities to improve processes and add value. Anticipate challenges and proactively implement solutions to keep workflows on track. Determines appropriate course of action, referral, or response. Prioritizes conflicting needs, handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
Demonstrate flexibility and a growth mindset in response to changing priorities and business needs
Event Coordination: Partner with the L&D team to plan and execute program events, including materials preparation, venue setup, and logistics. Coordinate travel and accommodations for facilitators and participants when required.
Financial & Vendor Management: Process and track expenses, invoices, and credit card reconciliations with accuracy and attention to deadlines. Serve as a point of contact for vendors and collaborate with cross-functional teams to support financial documentation and compliance.
Project Management Lead and support L&D-related projects from initiation to completion, ensuring milestones and deliverables are met. Provide regular updates to stakeholders and maintain alignment across teams.
Effective Communication: Communicate clearly (written and verbal) and professionally with stakeholders at all levels, from frontline employees to senior leadership. Tailor messaging to suit audience needs while maintaining discretion and professionalism.
Participates as a member of the Team . Participates in the ongoing development, communication and implementation of team concepts, programs, and policies; coordinates work to ensure best practices with all team members. Attends appropriate team meetings. As a member of the Team, fosters strong cohesiveness regarding all major issues, e.g., direction, annual plan, budget, policy changes, etc. Accepts responsibility to quickly identify any areas that lack cohesiveness, bringing them to the attention of the team leader and working with the team in a supportive manner to resolve issues and actively look for ways, and reinforce actions needed, to achieve synergy possible within the larger organization.
Simmons Operating systems principles and objectives: Is familiar with Simmons' established operating systems (e.g. quality, security, office environment, company policies, LEAN); understands the responsibility to maintain familiarity with the systems and this position's role in support of these systems - including a consideration of the impact of individual actions on the systems and the responsibility to communicate concerns and improvement ideas.

Physical Activities: Enters and locates information on a computer. Visually verifies information, often in small print. Communicates with customers, vendors, or employees via telephone, in person, and/or e-mail. Presents information to small or large groups. May travel via car to various work locations. Set up and move equipment such as projectors, computers, flip-charts and materials required for classroom training.
Personal Protective Equipment (PPE): As required by visiting facility.
Travel: 5%
Technical Experience: Leverage administrative tools such as Outlook, Excel, Word, PowerPoint, SharePoint, and OneDrive to support daily operations and team efficiency.
Industry Experience: N/A
Minimum Education : Associate Degree in HR, Business, Org. Development, or equivalent, or 2 years relevant experience.
Preferred Education : Bilingual English/Spanish
