Hospitality Coordinator - Benziger and Imagery Wineries (Administrative)

JOB SUMMARY

Under the direction of the Hospitality and Guest Relations Manager, the Hospitality Coordinator is responsible for event set up and breakdown, assisting with opening and closing procedures, daily cleaning/organizing, hospitality inventory management, guest services management, and event related administrative duties. Additionally, this position is responsible for assisting with duties throughout the property and in other departments as needed. This is a full-time position with 40 hours per week.

ESSENTIAL FUNCTIONS

  • Set tables, chairs, linens, wine glasses etc. and pull wines and other supplies in preparation for daily reservations/events per BEO provided by events team.
  • Breakdown and clean/reset event spaces upon conclusion.
  • Prep, set up and break down internal meetings, lunches, coffee service etc.
  • Responsible for the upkeep of event spaces and light janitorial such as washing/buffing glassware, laundering linens, dusting, etc.
  • Maintain and clean storage areas and service stations throughout shift.
  • Manage organization and cleanliness of employee kitchen and break room.
  • Assist in routine cleaning of indoor and outdoor event spaces, and ensure areas are presentable for our patrons.
  • Garbage removal, running dishwasher, buffing wine glasses and other related duties.
  • Assist with execution of events which include pouring wine, greeting guests, hosting, adhering to event timelines, and opening and closing duties.
  • Schedule part-time Guest Services personnel, manage payroll and incentive approvals, and ensure staff follow appropriate reservations and sales policies and procedures, with guidance from Hospitality and Guest Relations Manager.
  • Commerce7 Reservations Manager team lead.
  • Assist the Guest Services team, as needed, with greeting and checking in guests for daily reservations, responding to email/phone inquiries and reservations, relaying company policies, and utilizing POS and reservation systems to manage reservation transactions.
  • Assist Hospitality and Guest Relations Manager with intaking events inquiries, monitoring events inbox, calendarizing and inputting details into Tripleseat and Commerce7 systems, and ensuring all visitor and event information is accurately entered and maintained.
  • Book, schedule, coordinate, and execute Trade, VIP, Corporate, and private social events at the discretion of the Sr. Hospitality and Events Manager.
  • Order and track Hospitality supplies inventory, receive and store supplies and assist with cross-winery bulk supplies orders (e.g., Costco, Staples, Amazon).
  • Ensure all guests feel welcome and are always given responsive, friendly, and courteous service.

QUALIFICATIONS

  • Must be at least 21 years of age.
  • College degree preferred; administrative experience of 1-3 years.
  • Previous personnel management experience preferred.
  • Highly proficient in Word, Excel, Outlook, and Calendar program.
  • Highly detail oriented with excellent organizational skills.
  • Strong written and verbal communication and interpersonal skills.
  • Understanding of superior guest service and hospitality.
  • Passion for fine wines and sustainable environmental practices.
  • Service experience preferred and/or willingness to train on wine service.
  • Demonstrates initiative, responsibility, enthusiasm, and patience.
  • Creative problem solver.
  • Ability to work under minimum supervision and as a member of a team.
  • Demonstrated ability to multi-task, follow-up with communication of the events team and work in a fast-paced environment.
  • Ability to be ServSafe certified.
  • Ability to regularly work with cleaning supplies.
  • Demonstrate reliability and punctuality, work effectively in team/crew environment, adherence to all safety regulations and operating procedures.
  • Must be flexible at working weekends/special events, holidays.

PHYSICAL DEMANDS

  • Must be able to lift to 50 lbs.
  • Position requires prolonged standing, bending, stooping, twisting, and lifting banquet tables and cases of wine.
  • Must be able to travel between facilities.

COMPENSATION

  • Hourly Pay Range Posted: $21.68 - $25.00/hr.
  • Actual compensation will be based on factors such as experience, skills, knowledge, and abilities; education; and other position-related factors.
